# Invite editors to a podcast

Invite a person by email to co-edit one podcast, accept or refuse an invitation, and remove an editor.

Use this task when another person must work on one of your podcasts without access to your whole account. An editor co-edits one podcast. An organization member, in contrast, belongs to your organization and gets podcast access through permissions. ## Before you start

* Sign in as the owner of the podcast or as an admin of the partner that manages the podcast. Organization members cannot invite or remove editors, even for their assigned podcasts.
* Use a plan that includes editors: Scale and above, or an older plan that includes it.
* Have a free team seat. Every editor and every pending invitation uses one seat. See [Understand plans and what they include](/documentation/connect-and-administer/account-and-team/understand-plans-and-what-they-include.md).

### Before you start

* On a plan without editors, the tab shows **Editors are not available with your plan.**

On a plan without editors, the Editors section shows the upgrade notice instead of the invitation form.

### Invite an editor

1. Open the podcast.
2. Open the **People** tab. The **Editors** section explains: **Users who can co-edit your podcast**.
3. Enter the email address of the person.
4. Select **Invite**.

Podigee shows **An email with invitation has been sent** and lists the person with **Email**, **Status** **Pending**, and **Invited on**. The person receives the email **You have been invited to work on a podcast** with the buttons **Sign up for Podigee for free** and **Log in now**.

To send the invitation again, invite the same address again. Podigee shows **An email with invitation has been sent again**.

### How the editor accepts or refuses

* A person without a Podigee account creates one from the email. Podigee attaches the pending invitation to the new account.
* A person with a Podigee account signs in and sees the banner **You have been invited to work on \[podcast title].** with **Accept invitation** and **Refuse**.

After **Accept invitation**, the status changes to **Active** and you receive the email **A new editor has been added to your podcast**. After **Refuse**, the status changes to **Refused** and you receive the email **Your editor invitation has been refused**.

### Remove an editor

1. On the **People** tab, select **Remove** next to the person.
2. Confirm **Remove editor**.

Podigee shows **The editor has been successfully removed**.

### Expected result

* The editor can co-edit the podcast.
* The seat of a removed editor is free again.

### If you cannot complete the task

* **You have reached your team seat limit. Upgrade to invite more editors.**: remove an editor or a pending invitation, or upgrade your plan.
* **You are not allowed to add or remove collaborators.**: only the podcast owner or an admin of the partner that manages the podcast can manage editors.
* **Editors are not available with your plan.**: upgrade to Scale or above.
* The editor did not receive the email: check the address and invite the person again.

In the Podigee workspace you manage the editors of a show on the **People** page of the show settings. There you invite an editor, send an invitation again, and remove an editor. The workspace has no roles, no permission choices, and no contributors. Each person that you invite becomes an **Editor**. The invited person accepts the invitation in the classic view after signing in to Podigee. The invitation email is the same email as from the classic view and has no accept button. To give organization members access to a show, use the classic view. The show owner or an admin of the partner that manages the show can invite and remove editors. People in an organization cannot manage editors, also the organization owner. A show that belongs to an organization manages its team in the classic view. The plan of the show owner must include editors to invite a person or to send an invitation again. **Remove** does not need a plan with editors.

### Open the People page

1. Open the show and select **Settings** in the sidebar.
2. Select **People**. The page **See who works on this show.** opens with the section **Members**.

The list shows the owner first, with the role **Owner** and the status **Active**. The owner row has no actions. Each editor row shows the role **Editor** and one of the statuses **Invited**, **Refused**, or **Active**. An invited or refused row shows only the email address that you invited. The name and the account email of the person show after the person accepts the invitation.

When the plan of the show owner has a seat limit, the line "\[used] of \[limit] team seats in use" shows next to **Send invitation**.

### Invite an editor

1. Go to **Invite an editor**.
2. In **Email address**, enter the email address of the person. The hint states "We send an invitation email. The person accepts it in the classic view after signing in to Podigee."
3. Select **Send invitation**. The button reads **Sending...** while Podigee works.

The People page holds the Invite an editor form and the list of the owner and the editors.

Podigee saves the address in lowercase letters and ignores spaces before and after it. The person gets the invitation email and accepts it in the classic view, as the classic view tab describes under "How the editor accepts or refuses".

### Send an invitation again

To send an invitation that is still open again:

1. Find the row of the person with the status **Invited**.
2. Select **Resend invitation**. Podigee sends the same email again. The row stays **Invited**.

To invite a person again after the person refused:

1. Find the row of the person with the status **Refused**.
2. Select **Invite again**. Podigee checks the team seats again, sets the row to **Invited**, and sends the email again.

When all team seats are in use, the refused rows do not show **Invite again**. **Resend invitation** stays available. You can use **Resend invitation** or **Invite again** on one row at most once every ten minutes.

### Remove an editor

**Remove** also cancels an invitation with the status **Invited** or **Refused**.

1. In the row of the person, select **Remove**.
2. Read the dialog **Remove editor**. It asks "Remove \[name] from this show?" and states "They lose access to this show at once and get no email about it. You can invite them again later."
3. Select **Remove editor**. The button reads **Removing...** while Podigee works. To stop, select **Cancel**.

The Remove editor dialog tells you that the person loses access at once and gets no email.

### Expected result

* After an invitation, Podigee shows "Invitation sent to \[email]." The row shows **Invited** and "Invited on \[date]".
* After **Resend invitation**, Podigee shows "Invitation sent again."
* After **Invite again**, Podigee shows "Invitation sent again. The person can accept it now." The row shows **Invited**.
* After a removal, Podigee shows "Editor removed. They no longer have access to this show." The row is gone, and the seat is free again.
* After the person accepts the invitation in the classic view, the row shows **Active**.

### If you cannot complete the task

When Podigee refuses an invitation, the form keeps the address and shows the refusal at the **Email address** field. When Podigee refuses a row action, the refusal shows as a notice at the top of the page.

* The page shows "Only the show owner or an admin of the partner that manages the show can invite or remove editors here. A show that belongs to an organization manages its team in the classic view." above a list without buttons: you are not the show owner or an admin of the partner that manages the show, or the show belongs to an organization. Ask the show owner to manage the editors. For a show that belongs to an organization, use the classic view.
* The page shows **Not available** and "Editors are not in your plan": your plan does not include editors. Select **See plans** to upgrade. You can still remove editors.
* The page shows **Not available** and "Editors are not in the owner's plan": the plan of the show owner does not include editors. Select **Ask \[owner name]** or **Ask the show owner** to ask the owner for an upgrade. You can still remove editors.
* The form is replaced by "You have reached your team seat limit. Upgrade to invite more editors.": all team seats are in use. Remove an editor or an open invitation, or select **See plans**.
* The form is replaced by "The show owner's plan has no free team seats. Ask the owner to upgrade.": all team seats of the show owner are in use. Remove an editor or an open invitation, or select **Ask \[owner name]** or **Ask the show owner** to write an email to the owner.
* "Only the show owner or an admin of the partner that manages the show can invite or remove editors here. A show that belongs to an organization manages its team in the classic view.": ask the show owner to do the task. For a show that belongs to an organization, use the classic view.
* "Editors are not available with your plan.": upgrade your plan. Select **See plans**.
* "Editors are not available with the show owner's plan.": ask the show owner to upgrade the plan.
* "Enter an email address.": enter the email address of the person, then try again.
* "Enter a valid email address, for example <name@example.com>.": correct the address, then try again.
* "This is the show owner's email address. The owner already has access.": the owner needs no invitation. Enter the address of another person.
* "This person is already an editor of this show.": the person already has access. No action is necessary.
* "This person is already invited. Use Resend invitation in the list below.": select **Resend invitation** in the row of the person.
* "This person refused an earlier invitation. Use Invite again in the list below.": select **Invite again** in the row of the person.
* "You have reached your team seat limit. Upgrade to invite more editors.": remove an editor or an open invitation, or select **See plans**.
* "The show owner's plan has no free team seats. Ask the owner to upgrade.": ask the show owner to upgrade the plan, or remove an editor or an open invitation.
* "The invitation could not be saved. Try again.": try again.
* "An invitation to this person went out less than ten minutes ago. Wait a few minutes before you send it again.": wait ten minutes, then select **Resend invitation** or **Invite again**.
* "This editor is no longer on the list.": another person removed the editor. Check the list.
* "This person already accepted the invitation.": the person has access. The row shows **Active**.
* "Show not found.": the show does not exist, or you have no access to it. Podigee opens the start page of the workspace.
* The person cannot accept the invitation in the workspace: the person must accept it in the classic view.
