# Configure finance authority and accounting mappings

Choose who issues invoices and define tax, currency, and rounding rules for Podigee advertising revenue.

This task shows how to choose the finance authority for each legal business in the Podigee Audio Video Ad Server. It also shows how to define the tax, currency conversion, and rounding rules that apply before invoices, publisher earnings, payouts, and Settlement periods are prepared.

The interface separates these controls. **Finance and settlement** controls who issues invoices. **Revenue and data rules** controls tax, currency conversion, precision, and rounding.

## Before you start

You need:

* Access to **Monetization** and permission to manage finance and revenue rules.
* A current legal entity for each business that can issue invoices.
* The active review rules for **Finance governance** and **Policy governance**.
* The currencies that your workspace can use.
* An approved exchange-rate source and evidence reference.
* An active, certified finance connection if an external accounting system issues invoices.

Ask your finance or tax owner to confirm the tax treatment, exchange-rate source, and accounting requirements. Podigee records and applies the selected rules. It does not provide tax advice.

## Understand the two controls

Configure both controls before you prepare invoices, publisher earnings, payouts, or a Settlement period.

## 1. Choose the invoice authority

1. Go to **Monetization > Evidence & Money > Finance and settlement**.
2. Select **Set up finance**.
3. Select the invoicing company.
4. Select **Podigee issues invoices** or **Connected accounting system**.
5. If you select a connected system, select the available accounting connection.
6. Enter a short reason for the setup.
7. Complete the confirmation required by your Finance governance rule.
8. Select **Save finance setup**.

Only active, certified finance connections appear in the accounting connection field. Podigee gets the country and document rules from the selected legal entity. You do not enter those values again.

## 2. Verify the active authority

The result page must show:

* **Finance setup saved**.
* The correct invoicing company.
* The selected invoice issuer.
* The country rules that Podigee applied.

Return to **Finance and settlement** and check the **Finance setup** table. The new setup must be **Active**. A prior setup for the same legal entity becomes **Replaced** only after the new setup is saved successfully.

## 3. Use a connected accounting system

Use this option when another system must issue the statutory invoices.

1. Create or activate the finance connection in **Monetization > Integrations**.
2. Complete the required certification for the connection.
3. Return to **Set up finance**.
4. Select **Connected accounting system**.
5. Select the certified accounting connection.
6. Confirm and save the setup.

The selected connection becomes the external invoice identity for that legal entity. Podigee does not allow two active invoice authorities for the same legal entity.

If no certified connection is available, Podigee blocks the change. The current active authority stays in place. Activate and certify the connection, then try again.

## 4. Add tax, currency, and rounding rules

1. Go to **Monetization > Monetization settings > Revenue and data rules**.
2. Select **Add Tax, currency, and rounding**.
3. Enter a clear rules name and active window.
4. Select the tax treatment.
5. Select the credit-note tax treatment.
6. Select the exchange-rate source.
7. Add the rate provider and evidence reference when the source requires them.
8. Select when Podigee fixes the exchange rate.
9. Select each source currency and one Settlement currency.
10. Set the calculation precision and rounding method.
11. Select which rate a reversal uses.
12. Select how a new version affects open Settlement periods.
13. Enter the reason for this version.
14. Select **Save draft rules**.

Use only workspace currencies that are enabled for the business. The rate evidence must identify the source that an operator can verify later.

## 5. Review and publish the rules

The saved rules are a draft. They do not affect revenue calculations or Settlement until you publish them.

1. Review the saved values.
2. Select **Preview impact** when you need to compare the draft with current rules.
3. Complete the review required by your Policy governance rule.
4. Select **Confirm and publish**, **Publish rules**, or **Publish approved rules**, as shown.
5. Confirm that the status is **Active** or **Scheduled**.

When you revise active rules, Podigee keeps the current version active until the replacement completes review and publication. A failed or incomplete draft does not replace the last active version.

## Understand accounting mappings

Podigee owns the advertising revenue evidence and its internal accounting entries. The finance authority connects those entries to one legal business and one invoice issuer.

When Podigee issues invoices, the legal entity and its country automatically select the applicable document profile. The setup form does not ask you to map Podigee internal account codes.

When a connected accounting system issues invoices, the selected certified connection is the external accounting identity. The finance authority form does not configure provider-specific account codes, tax codes, or posting settings. Complete required provider mappings in the connected system according to its instructions.

The tax, currency, and rounding rules control how Podigee calculates the amounts that enter the revenue record. They do not change an external provider's chart of accounts.

## If Podigee blocks the setup

* **No invoicing company is available:** Create or link the legal entity, then open the setup again.
* **No accounting connection is available:** Activate and certify a finance connection before you select **Connected accounting system**.
* **The external setup fails:** Check the connection state and certification. The prior active finance authority remains in place.
* **A second reviewer is required:** Ask an authorized teammate to approve the exact setup. A Solo confirmation rule lets one authorized operator complete it when your organization permits this.
* **A currency is unavailable:** Enable it in the workspace controlled values before you add it to the rules.
* **The active window is invalid:** Enter a complete window whose end is after its start.
* **Rate evidence is missing:** Add the provider or evidence reference required by the selected exchange-rate source.
* **Source and Settlement currencies conflict:** Select supported currencies and one Settlement currency.
* **A review was returned, rejected, canceled, or expired:** Revise the draft and request review again.
* **You do not have permission:** Ask a workspace administrator to manage finance or revenue rules.

## Result

Each legal entity has one active invoice authority. The workspace also has a published rule for tax treatment, currency conversion, calculation precision, rounding, reversals, and open periods. Finance operators can now prepare revenue work from one controlled accounting foundation.
