# Confirm Creative rights, disclosures, and suitability

Confirm the usage rights, required disclosures, and editorial suitability of an exact Creative version before Campaign use.

Use the Podigee Audio Video Ad Server to confirm that a Creative may run in the intended place and period. Then complete the editorial review rule for the exact Creative version.

Technical readiness and editorial suitability are different checks. A prepared file can still have invalid rights, a missing disclosure, or unsuitable content.

## Prerequisites

Before you start, make sure that you have these items:

* Permission to view Creatives and request approval.
* A Creative with ready media.
* The signed or authorized usage terms.
* The correct rights-granting legal entity.
* The approved markets and delivery period.
* The buyer brief and any required disclosure.
* The workspace Creative review rule.

## Understand the three checks

| Check                 | Question                                                                                                         |
| --------------------- | ---------------------------------------------------------------------------------------------------------------- |
| Usage rights          | May this legal entity authorize this media in these territories, on these delivery surfaces, during this period? |
| Disclosures           | Does the ad include every label or statement required for its brand category and placement?                      |
| Editorial suitability | Is this exact audio or video version suitable for the publisher and Campaign?                                    |

All three checks must support the intended use.

## Confirm usage rights

Rights are first recorded when the master is uploaded. The upload connects the Creative version to the grantor, markets, period, media type, and required delivery surfaces.

To inspect the stored rights:

1. Open **Monetization**.
2. Select **Creatives**.
3. Open the Creative.
4. Find **Usage rights**.
5. Confirm the rights grantor.
6. Confirm the validity period.
7. Confirm every territory.
8. Confirm the delivery surfaces.
9. Confirm that the status is **Active**.

For audio, the grant must cover progressive podcast delivery. For video, the grant must cover the selected Podigee and Apple HLS surfaces when those destinations apply.

The rights period must cover the complete Flight period. A Creative is not eligible after its grant ends or after the grant is revoked.

## Correct a rights problem

Do not rewrite an earlier Creative version after it has been used for a decision or delivery.

Use this process:

1. Confirm the corrected legal entity, territories, surfaces, and period.
2. Upload the authorized media as a new Creative version when the recorded grant must change.
3. Complete media preparation for the new version.
4. Preview the new version.
5. Complete the required suitability review again.
6. Replace the assigned version only after all checks pass.

The earlier version stays available as evidence for its earlier use.

## Confirm required disclosures

Required disclosures come from the brand classification and the buyer or publisher rules. Open the Commercial account and select **Classify brand** when you need to inspect or change them.

The controlled disclosure list contains these values:

* Alcohol.
* Gambling.
* Political advertising.
* Regulated health.
* Sponsored content.
* Tobacco.

Select only the disclosures that apply. Then preview the Creative and confirm that the required spoken, written, or visual disclosure is present.

A saved disclosure requirement does not add words or graphics to the Creative. It tells operators and policy checks what the ad must contain.

## Request the suitability review

1. Open the ready Creative version.
2. Select **Review and confirm**, **Request optional review**, or **Send for independent review**.
3. Open the created approval request.
4. Check the Creative name and item version.
5. Check the review rule and expiry.
6. Play the Creative in the review page.
7. Compare the media with the buyer brief, publisher rules, and required disclosures.

Podigee does not let an unprepared Creative enter the review flow. The approval request stays bound to the exact Creative version.

## Apply the workspace review rule

The workspace can use one of these review modes:

| Review mode        | How it works                                                                                                       |
| ------------------ | ------------------------------------------------------------------------------------------------------------------ |
| No separate review | The exact version can proceed without another decision. Rights, security, format, and delivery checks still apply. |
| Optional review    | An authorized operator can request review when the work needs it.                                                  |
| Solo confirmation  | One authorized operator can review and confirm the exact version.                                                  |
| Independent review | A different authorized person must decide the request.                                                             |

A one-person operation can use no separate review or solo confirmation. A larger team can require an independent reviewer.

An administrator can change the Creative suitability rule in **Monetization settings**. A rule change applies to later decisions. It does not rewrite an earlier decision.

## Record the decision

Use the action that matches your review:

* Select **Approve version** when the exact Creative is suitable and complete.
* Enter clear feedback and select **Return for changes** when the Creative can be corrected.
* Enter clear feedback and select **Reject** when the version must not proceed.

Return and reject actions require feedback. Name the specific problem and the next action.

After approval, the request shows the recorded decision and the exact version it covers.

Approval does not assign the Creative to a Flight. It also does not change live delivery.

## What to check for suitability

Use the buyer brief and publisher policy. Check at least these items:

* Brand and product are correct.
* Offer, price, dates, and call to action are correct.
* Spoken and written language is correct.
* Required disclosure is present and clear.
* Claims are permitted and supported.
* Content fits the intended audience and publisher.
* Music, voice, images, and other material are authorized.
* Companion assets and click targets match the Creative.
* Duration and media type match the booked format.
* No prohibited, misleading, or unrelated content is present.

Do not approve a Creative only because the file plays correctly.

## Changes that need another review

Request another review when a change creates a new Creative version or changes the meaning of the approved ad. Examples include:

* A new audio or video file.
* A changed claim, offer, price, or call to action.
* A changed disclosure.
* A different language.
* A changed rights period, market, grantor, or delivery surface.
* A changed companion asset or click target that affects the ad meaning.

Minor operational notes do not change the approved version. Check the version number when you are not sure.

## Solve common problems

| Problem                                 | Cause                                                                           | Safe action                                                              |

| The review action is not available      | Media preparation is incomplete or you lack permission.                         | Finish the media checks or ask an administrator for the required access. |
| Rights are not active                   | The grant is not current, complete, or valid for the intended use.              | Create a corrected version with an authorized grant.                     |
| A required disclosure is missing        | The Creative does not meet the brand or publisher rule.                         | Return the version and request a corrected Creative.                     |
| The preview does not match the brief    | The wrong media or version was submitted.                                       | Do not approve it. Upload the correct media as a new version.            |
| You cannot approve your own request     | The workspace requires independent review.                                      | Ask another authorized reviewer to decide it.                            |
| Return or reject is blocked             | Decision feedback is missing.                                                   | Enter a specific reason and next action.                                 |
| An approved Creative cannot be assigned | Rights, market, format, period, or delivery coverage does not match the Flight. | Resolve the named coverage gap before assignment.                        |
| The approval expired                    | The review period ended before the decision or use.                             | Request a current review for the current version.                        |

## Expected result

The exact Creative version has an active grant for its intended use. Every required disclosure is present. The workspace review rule is satisfied, and the approval decision is recorded without changing live delivery.
